Which patient monitors are supported?

Sedation Vault integrates with Edan (X10, IM60, IM3, CX-12), MindRay, and Criticare monitors. Vitals stream automatically into the sedation record — no manual entry required during the procedure. Additional monitor models are added regularly; contact us if you do not see yours listed.

Do I need special hardware?

You need a compatible patient monitor (see above) and a small gateway device that connects your monitor to the cloud over your office Wi-Fi. It ships ready to go — plug it in and it registers automatically. No on-site server or IT configuration required.

What is the difference between the three plans?

All plans include DEA-compliant drug logging, monitor integration, patient records, and sedation tracking.

  • Oral Sedation ($1,299/yr or $129/mo) — covers oral sedation workflows and drug logging.
  • IV Sedation ($1,499/yr or $149/mo) — adds IV administration tracking.
  • Complete ($2,499/yr or $249/mo) — includes compliance scoring, credentialing management, emergency readiness tracking, and PDF report export for state inspections and malpractice carriers.

All plans include two provider licenses. Additional providers are $499/yr or $42/mo each. Annual billing saves approximately 15% versus monthly.

How does provider licensing work?

Each plan includes two provider licenses. Additional credentialed providers (dentists or anesthesiologists who perform sedation) are added as paid seats at $499/yr or $42/mo per provider. Support staff — assistants, front desk — do not consume provider seats. Seats can be added or removed at any time and billing adjusts immediately.

Is Sedation Vault HIPAA compliant?

Yes. Patient data is stored on HIPAA-eligible cloud infrastructure under a Business Associate Agreement. All data is encrypted at rest and in transit, access is role-based, and controlled substance records are audit-logged. Patient documents are never stored in publicly accessible locations.

Is the drug log DEA compliant?

The drug log is designed to meet DEA 21 CFR Part 1304 requirements for controlled substance recordkeeping. Every administration is timestamped and attributed to a provider. Waste is documented with a verifiable digital witness record. Records are retained for the legally required period and deletions require a documented reason.

Which states are supported for compliance scoring?

The compliance engine scores against a baseline IV sedation permit ruleset covering requirements common to most states. State-specific variations — permit renewal frequency, required drill cadence, capnography mandates — are being mapped with our clinical advisory team. Contact us to confirm coverage for your state before purchasing.

Can I use Sedation Vault on a tablet during a procedure?

Yes. The interface is fully responsive and tested on iPads. Vitals stream automatically from the monitor so the clinician does not need to enter readings manually during the case. Drug entries are designed for quick one-tap logging chairside.

Does Sedation Vault integrate with my practice management software?

Not yet. Direct integrations with Dentrix, Eaglesoft, Open Dental, and Curve Dental are on the roadmap. Currently, patient demographics are entered once in Sedation Vault and the system maintains its own procedure records. A complete PDF procedure record can be exported and uploaded to another system at any time.

How long does setup take?

Most practices complete onboarding in under an hour. The setup wizard walks you through practice profile, staff and credentials, monitor pairing, and a demo procedure. We provide a live onboarding call for Complete plan subscribers.

Can I cancel anytime?

Yes. Monthly plans cancel at the end of the current billing period. Annual plans are non-refundable for the current year but will not auto-renew if cancelled before the renewal date. You can export a full PDF archive of all procedure records before cancelling — your clinical records always belong to you.

What happens to my data if I cancel?

Your data is retained for 90 days after cancellation so you can export it. We strongly recommend generating a full PDF export of all procedure records before cancelling — this is available from the compliance export screen.
